How to cancel a gym membership in writing
How do you write a gym membership cancellation letter?
Start with your membership agreement, not the letter. The agreement usually says where cancellation notices go, how much notice is needed, and whether anything else must be returned or signed. Then keep the letter short and factual.
- Find the agreement and the gym’s current cancellation instructions, and note the address or method they name for notices.
- Check the notice period, any renewal date, and any fee or balance the agreement describes.
- Draft a plain request: who you are, which membership, that you are canceling, and the date you want it to end.
- Ask the gym to confirm in writing the effective date, any remaining balance, and whether any step is left.
- Sign and date the letter, keep a copy, and send it by a method you can document.
- Watch your next statements, and follow up in writing if a charge appears after the effective date.
What should the letter include?
The fictional example on this page shows one way to lay this out. Whatever format you use, a cancellation letter usually needs:
- Your full name and the address on the membership, so the gym can match the account.
- The gym or club name as it appears on the agreement or your latest statement, and the location if there are several.
- A membership or contract number, if you have one. Leave out Social Security numbers and full card numbers.
- A clear sentence that you are canceling, plus the requested end date.
- A request that the gym stop recurring charges and confirm the cancellation in writing.
- Your signature and the letter date. Some state laws and contracts call for a signed written notice.
How should you send it so you can prove it?
USPS says Certified Mail gives you a way to prove you sent a mailing and to see when it was delivered or that a delivery attempt was made. Adding Return Receipt gets you a delivery record showing the recipient’s signature; USPS lists the electronic (email) Return Receipt at $2.91. Whatever method you use, keep a copy of the signed letter, the tracking number, and any reply.
Through IRIS, you upload or create the letter, enter both addresses, and review everything before paying; IRIS prints it and mails it by USPS First-Class Mail. Certified Mail adds $6.95, so a one-page black-and-white certified letter is $10.15, and tracking shows on your order page. An electronic Return Receipt adds $2.91 and is available only with Certified Mail. IRIS doesn’t provide a postmarked USPS sender’s receipt, and your order status is not proof of delivery.
Can a gym require you to cancel in person?
It depends on your contract and your state. The examples below are not a complete list, and other states have their own rules.
New York: General Business Law §624 says a health club must accept notice of cancellation through methods including website, email, telephone, mail, or in person, and a club that lets you sign up on its website must also accept cancellation through that website. It also sets a three-business-day window to cancel a new contract, with notice delivered by US mail or email to the address in the contract.
California: Business and Professions Code §17602 covers automatic renewal and continuous service offers. A business that lets consumers sign up online must let them cancel online, through a prominent link or button or a ready-to-send termination email.
Federal rule: the FTC’s amended 2024 Negative Option Rule, often called “click to cancel,” was vacated, so its cancellation requirements are not in effect. In March 2026 the FTC asked for public comment on whether to amend its current Negative Option Rule.
What if the gym keeps charging you?
Contact the gym first, in writing, and attach or cite your cancellation letter and its delivery record. If a credit card charge stays on your bill, the CFPB says to call the card company right away and send a written billing error notice within 60 calendar days after the charge appeared on your statement. The card company then has 30 days to acknowledge your dispute unless it resolves the dispute within that time.
Keep copies of everything: the agreement, your letter, the tracking and Return Receipt record, statements, and notes with the dates of each call. Your state attorney general’s office or consumer protection office can tell you which rules apply where you live.

What this tool produces
Draft one cancellation-request letter to review and sign as required. This is not a cancellation service and does not determine fees, refunds, or when your membership ends.
Suitable for
- An individual gym membership whose agreement permits written cancellation notice by your selected delivery method.
Not suitable for
- Treating a mailed letter as automatically canceling your contract or replacing a required online or in-person process.
- Demanding a guaranteed refund or assuming an unverified cancellation deadline has been satisfied.
Before you start
- Find your membership agreement, current cancellation instructions, and the correct recipient address. Confirm the permitted notice method, notice period, and any signature or other required steps.
- Gather only the minimum membership reference needed and choose your requested effective date. Check any remaining fees or refund terms against your agreement and applicable rules.
- The letter editor asks for the company name, not the mailing-wizard destination. If you choose IRIS mailing, you will review the US mailing address separately.
- The FTC source below provides general subscription-cancellation guidance. Your actual agreement and applicable rules determine the requirements; this guidance does not establish a universal federal “click to cancel” right.
