The short answer

For an individual service renewal letter, generate a PDF from current approved account details, make the customer’s next step clear, and review it before mailing through IRIS. Keep renewal schedules and contract decisions in your own system; the IRIS API does not schedule future mailings.

Make the letter answer the customer’s next question

A useful service renewal letter explains which service is being discussed, the relevant period, the action available to the customer, and how to get help. It should let someone act without opening several earlier emails. Keep the tone factual and the requested next step easy to identify.

For an illustrative example, a maintenance company may prepare a paper summary for a customer who requested one before deciding whether to continue service. The letter can summarize approved service details and a contact route. It should not invent an automatic renewal, a price change, or a payment obligation that the account record does not establish.

Recheck the account at preparation and review

Time creates a particular risk in renewal correspondence: a letter drafted last week may be outdated today. The review step should use the latest relevant source data.

  • Confirm the customer’s active service and the specific renewal period.
  • Verify any price, effective date, and required action against approved records.
  • Check whether the customer has already renewed, declined, canceled, or changed contact details.
  • Confirm the postal address and preference for receiving this individual correspondence.
  • Have the appropriate person check any contract-specific wording or required notice method.

Use AI for wording, with facts supplied by your system

An assistant can turn approved facts into a readable first draft. Give it the current service description, confirmed dates, and approved next step, and instruct it to ask about missing fields. Keep calculations and contractual decisions in trusted business logic. Review the resulting text against the source record before exporting the PDF.

A short structure works well: identify the service, state why you are writing, present the next action, and provide a contact. Use a readable URL if an action happens online. IRIS does not generate QR codes as part of its mailing API, so do not make a generated QR code a hidden dependency of the workflow.

Keep timing in your application

Your own system can decide when to create a preparation task for a renewal. IRIS does not offer a send_date field or a scheduling endpoint. When the task is ready, register the finished PDF, obtain a quote, and return it to the person responsible for approving the mailing.

Allow for preparation and postal transit, and do not present an estimated arrival date as a guarantee. If a letter serves a required notice function, verify the applicable timing and mailing requirements with the appropriate authority. The fact that a mailing API accepts a letter does not establish that the content or delivery method meets those requirements.

Connect the result to the right renewal record

Submit the approved mailing with a saved Idempotency-Key and attach the returned orderId to the specific renewal period. A later renewal is a separate business intent; a network retry for the same approved letter is not. Keep those cases distinct so a recurring workflow cannot accidentally resend the same notice.

Track whether the customer acted using your own service system. Mailing status describes the letter’s progress, not acceptance of a renewal or payment. Use staff follow-up for returned mail and conflicting records, and measure the number of corrections caught before sending as part of your workflow review.
