The short answer

To automate an individual invoice mailing, export the finalized invoice as a PDF, verify the customer’s current postal address and balance, and prepare an IRIS quote. After review, submit the PDF as one letter and attach the returned mailing order ID to your billing record.

Keep the billing system as the source of truth

A customer requests a paper copy of an invoice. Your accounting software already knows the invoice number, line items, payment instructions, and remaining balance. Reuse its final PDF rather than asking an AI assistant to recreate those facts. The mailing integration should move an approved document, not become a second billing ledger.

This is a custom export-and-API workflow. It does not require an IRIS-native accounting connector, and it should not be described as one. If your billing software can export a suitable PDF, your server can prepare that document for IRIS. Your team remains responsible for the correctness of the invoice and permission to send it.

Choose a trigger that represents a real request

Useful triggers include a staff-approved request for a mailed copy or a customer’s recorded preference for paper correspondence. A generic “invoice updated” event is usually too broad: edits, payment imports, and reconciliation can all cause it to fire. Pick a precise business event and deduplicate it before preparing a letter.

Recheck the record before approval. An invoice may have been paid, canceled, replaced, or corrected after the initial event. Put those cases into an exception queue instead of sending a stale balance. A billing reminder should never imply a debt or deadline your approved records do not support.

Review the invoice as a paper document

An invoice designed for a screen may contain tiny type, a clipped payment link, or a blank second page. Inspect the exact PDF that will be registered. For a routine invoice, a readable black-and-white document may be sufficient; obtain a quote for the actual page count and options.

  • Confirm invoice number, issue date, line items, totals, and the current balance against the billing system.
  • Check the customer name and postal address separately from the email contact.
  • Include a payment route that works from paper, such as a readable business payment URL or approved written instructions.
  • Remove unnecessary sensitive information and confirm the contents fit the IRIS acceptable-use policy.
  • Check the return address and support contact so a customer can resolve a question.

Prepare and submit the individual mailing

Request a private upload, transfer the PDF bytes, register the document, and quote the complete letter payload. Present the PDF, addresses, print options, and quoted amount to a reviewer. Store approval with the source invoice version and document ID, then submit with a durable Idempotency-Key.

Save orderId in your billing workflow. Keep invoice payment status separate from postal order status: a paid IRIS order means the mailing service was funded, not that the customer paid the invoice. Poll the account-owned mailing status for progress. Do not assume IRIS provides an outbound billing webhook or automatic payment reconciliation.

Measure operational value without guessing payment impact

Track time spent preparing each paper invoice, address corrections found during review, duplicate events suppressed, and mailed documents requiring follow-up. Compare those figures with your prior manual process. Do not assume that adding paper correspondence makes invoices get paid sooner; establish that separately from your own records.

Start with individual customer requests and a small review queue. IRIS does not provide batch personalization or mailing-list campaigns. Keep invoice creation, recurring billing schedules, and payment calculations in the accounting system while the API handles each reviewed mailing.
